Privacy Policy
Security work means we handle sensitive information, including video. This page explains, in plain language, what we collect, why, how long we keep it, and the control you have over it.
ACS Security Group Incorporated ("ACS", "we", "us") provides physical security, mobile security and integrated security technology across Windsor and Southwestern Ontario. This policy covers the personal information we handle through our website, our sales and support conversations, and the monitoring and reporting we deliver to clients. We collect only what the work requires, we are clear about why we hold it, and we do not sell personal information to anyone. Where this policy refers to video, it means recorded or live footage captured by cameras, mobile defense towers and connected monitoring systems we operate or monitor on a client's behalf.
01What we collect
The information we hold depends on how you interact with us. We do not gather more than we need to respond, deliver a service, or meet a legal obligation.
Information you give us
- Contact details you submit through a form, email or phone, such as your name, business name, email address and phone number.
- Details about your site or security concern that you share so we can scope an assessment or a quote.
- Correspondence and notes from our conversations, proposals and service records.
Information we collect automatically on the website
- Standard server and analytics data such as IP address, browser type, pages viewed and referring links, used to keep the site secure and understand which content is useful.
- Cookies and similar technologies that remember basic preferences and measure traffic. You can refuse or clear cookies in your browser; core pages will still work.
Information we collect while delivering security services
- Video and images from cameras, mobile defense towers and monitoring systems at sites we operate or monitor.
- Access events, alarm signals, sensor data and the time, date and location tied to them.
- Guard reports, patrol logs and incident records created during a deployment.
02How we use it
We use the information above to do the job a client hired us for and to run a responsible business. Specifically, we use it to:
- Respond to enquiries, scope security assessments and provide quotes.
- Deliver and supervise guard, patrol, tower and monitoring services.
- Detect, verify and respond to alarms, intrusions and incidents.
- Produce the reports and records our clients rely on after an event.
- Keep our website, systems and people secure, and meet legal, insurance and licensing obligations under Ontario law.
We do not use video or monitoring data for advertising, and we do not sell it. We use it for security and the client relationship it was collected for.
03Video and monitoring data
Video is the most sensitive information we handle, so it gets the most care. Cameras and towers are deployed to deter and document activity at a defined site, not to monitor the general public beyond that purpose. Where the law requires it, sites under surveillance are signed so people know recording is in effect.
Access to footage is limited to ACS staff and authorized client contacts who need it to do their job. Live and recorded video is handled on secured systems, and we log who reviews or exports footage so there is an accountable trail. We treat each client's footage as belonging to that client's security program, and we do not share one client's video with another.
04How long we keep it
We keep personal information only as long as there is a clear reason to. Retention depends on the type of data and any contractual or legal requirement.
- Website enquiry details are kept while we are in contact and for a reasonable period afterward in case you return.
- Video and monitoring data are kept for the retention window agreed with the client, then overwritten or deleted on a rolling cycle, unless footage is preserved for an active incident, claim or investigation.
- Service records, reports and records we are legally required to retain are kept for the period set by law, our insurers and our licensing obligations.
When information is no longer needed, we delete it or render it unrecoverable through our normal secure disposal process.
05Sharing and law enforcement
We share personal information only when there is a legitimate reason to, and we keep the list of who can receive it short.
- Service providers. Vetted vendors that host our systems or support our services, bound by confidentiality and permitted to use the data only for that purpose.
- Our clients. The video, reports and records tied to a client's own site and security program.
- Police and investigators. Footage or records may be released to law enforcement or a licensed investigator when we are presented with valid legal authority, when there is a genuine threat to safety, or at the documented request of the client who owns the footage. We log every such release. Formal requests for video should go through our police and investigator video request process.
We may also disclose information where we are legally required to, or to protect the rights, property and safety of ACS, our clients or the public.
06How we protect it
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including access controls, secured systems, staff vetting and training, and limits on who can view or export video. No system is perfectly secure, but we work to reduce risk and to respond quickly if something goes wrong.
07Your rights
Under Canadian privacy law, you can ask us about the personal information we hold about you and request that we correct it where it is inaccurate. You can also ask questions about how your information is handled, or withdraw consent where consent is the basis we rely on, subject to legal and contractual limits.
Video raises a special point. Because footage of one person often also captures others and a client's premises, requests for video are handled case by case to protect everyone in the frame and the security purpose it serves. Where a request involves a client's site, we coordinate with that client. To make a request, contact us using the details below, and we will respond within a reasonable time.
